Acclaim Management Group is committed to severing our communities with a great deal of care and support. Our administrative services relieve the Board of Directors from the time consuming responsibilities of their association and allow them to focus on policy matters rather the smaller day-to-day details.
Act as the Registered Agent
Maintain electronic and hard-copy records
Maintain fiscal records
Keep detailed and homeowner rosters
Working with title companies during the process of sale or refinance and welcoming new homeowners with the appropriate governing documents and association information
Selection and supervision of vendors, including obtaining competitive bids for services
Enforcement of the associations governing documents
Meeting attendance and producing the necessary reports for each meeting as directed by the Board of Directors
Providing provisions for a meeting area
Manage ingoing and outgoing correspondence including but not limited to:
-Mass mailings to homeowners
-Prompt response to inquiries
-Preparing and mailing newsletters and notices
-Sending monthly statements
-Mailing violation and fine notices
Keeping detailed records of the above mentioned ingoing and outgoing correspondence
Manage the general administrative operation of the community
Financial
Acclaim Management Group uses a fully computerized accounting system to provide detailed and timely financial services.
Respond to inquiries in an timely manner
Collect HOA dues and manage late charges and other fees for homeowner accounts
Enforce collection of delinquent balances, including working with the association's attorney
Manage Association expenditures
Maintain the Association's bank accounts and keep detailed books
Provide monthly financial reports including but not limited to:
-Chart of Accounts
-Accounts Payable Posting
-Accounts Receivable Ageing
-General Ledgers
-Comparative Income Statements
-Check Register
-Accounts Receivable Register
-Bank Reconciliation
-Balance Sheets
-Budge vs. Actual
Prepare or assist in the preparation of annual budgets and account analysis
Providing end of the year reports and tax returns
Making financial record of the association available for inspection during normal business hours (with advance notice)
Maintenance
Provide maintenance and repair of common areas
Prompt response to emergencies
Initiating preventative maintenance programs
Making regular on-site inspections of the community
Maintaining contact with vendors to insure quality repairs
Additional Services
Other services available to community associations managed by Acclaim include website development and maintenance with convenient homeowner features such as secure on-line account information, work order tracking, architectural request/violation tracking, and document and information distribution. On-line features for Board Members include private chat rooms and posting boards, access to on-line financial statements, homeowner surveys and easy homeowner communication.
